Role Overview

This role will allow you to combine your stellar writing, marketing and project management skills with your ability to work collaboratively with multiple stakeholders to complete winning proposals and support corporate marketing activities. Reporting to the Team Leader, Marketing and Business Development, the Specialist leads proposals including searching for bids, discussing win strategies, and the design of the final product. You will also work with the marketing team to ensure all company marketing materials are kept relevant and current, including writing and editing CVs and project profiles, creating marketing packages, developing pursuit strategies, designing graphics and layouts, writing blogs, and preparing presentations.

What You Will Do
  • Responsible for all aspects of the proposal process including reviewing request for proposal (RFPs) documents, leading strategy meetings, and working closely with internal experts to prepare, write and edit proposal responses including methodology, approach and schedules. 
  • Complete the layout and design of proposals that are error-free and will pique the reader’s interest through strong content complemented by your excellent design. 
  • Review final proposal documents for compliance, prepare final documents (including printing when required), and submit to clients on deadline and via their preferred platform. 
  • Scan public tendering sites for RFPs and related opportunities aligned with the firm’s portfolio for the technical team for review. 
  • Provide quality assurance checks by reviewing proposals and marketing material created by team members. 
  • Create presentations to support our business development team during the interview process. 
  • Provide marketing support and assistance to personnel in their pursuit of new business. 
  • Maintain and update project descriptions, and corporate/department profiles, CVs and bios for technical staff, and our photography database (bonus points if you’re good with a camera). 
  • Create and maintain content for the company website and social media including writing blogs, creating graphics and SEO. 
  • Develop layouts and templates for marketing collateral, such as marketing packages, signage, recruitment briefs, and one-pagers. 
  • Monitor industry award opportunities and prepare award submissions. 
  • Work with our technical staff to find speaking opportunities and help prepare presentation materials. 
What We Need
  • Undergraduate degree or diploma in a related field such as English, Liberal arts, Journalism, Communications, Marketing or Business. 
  • Minimum of 3-5 years of work experience in a proposal writing or marketing/communications role. 
  • Strong writing and editing skills (we love a good word nerd on our team). 
  • Excellent communication, collaboration, facilitation, and interpersonal skills. 
  • Strong time management skills with the ability to work independently and as part of a team. 
  • Proven project management skills and the ability to work in a fast-paced team environment where meeting deadlines is critical. 
  • Experience in Adobe Creative Suite considered an asset.  
  • Direct proposal management experience within the construction, architectural and engineering industries would be great, but it isn’t necessary.

Working Conditions and Safety 

Standard hours are Monday to Friday, 8:00 a.m. – 4:00 p.m., and some overtime hours may be required from time to time. The ability to travel away from the office is required to assist and attend on-site project meetings.
